How to Write a Resignation Letter? (With Example & Template)

You’ve finally made the decision to move on. You’ve just accepted a new job offer or decided to try something new. The resignation letter is now all that stands between you and your new venture, and you’re not sure how to write it or what to put on it.

It is important how you write a resignation letter and what you write on it. In general, you should always give your boss two weeks’ notice before leaving a job. It’ll be on your record, and it’ll set the tone for your new business. But don’t be alarmed. Writing a resignation letter is a straightforward procedure. If you follow these steps, you will be able to write a perfect resignation letter to your soon-to-be former boss.

Step 1. Greeting and Basics

Begin each sentence with a greeting. Remember to always address your superiors by their title. Declare that you are officially resigning from your position because you have accepted a job offer elsewhere or want to start your own business. Also, specify the date of your last day of service.

For example,

Good Morning Chief Nelson,

I hope this email/letter finds you in good health. I am writing to formally notify you that I am resigning from my position as a Patrol Officer at the Carrington Police Department. My last day of service will be July 10, 2019.

Step 2. Explanation/Thank You

Furthermore, explain why you are resigning from your position. Also, express your gratitude for the opportunities you were given at your job. Your goal in this section is to emphasize that you are leaving your role for a legitimate reason, not for fun.

For example,

I recently accepted a position as an investigator with the 13th Bureau Police Department. After careful consideration, I am thrilled to be joining the 13th Bureau Police Department and embarking on a new career path.

I’d like to take this opportunity to express my gratitude for the opportunity to work in this position for the past seven years and seven months. I’ve had a lot of fun and appreciated the opportunities that have come my way.

Step 3. Sign-off/Hand-off

Declare in this section that you are prepared to complete all of the remaining assignments. If your job requires it, offer your assistance. Finally, sign your name to the resignation.

For example,

Over the next two weeks, I will do everything in my power to complete any outstanding assignments. Please let me know if there is anything else I can do to assist you before my departure. I wish the Carrington Police Department the best of luck in the future. I hope to hear from you again in the future.
